What to agree with a moving company before booking
A moving company and its customer should have the same understanding of the job. “We will move the items tomorrow” does not specify vehicle size, number of workers or extra services. A short written summary can prevent confusion about time and price. Before booking, collect the main conditions in one message that both sides can review.
Moving company agreement: define the load
Name and count large pieces such as sofas, wardrobes, tables, appliances and equipment. Include an estimate of box numbers and sizes, and identify unusually heavy items. If packing is still underway, share a preliminary list and update it later. The proposed vehicle should match this inventory. Our truck size and weight guide helps you gather useful measurements.
Photographs help a provider see awkward or heavy items, but they do not replace dimensions and weight information. Measure height, width and length when possible. Ask how items added after the quote may change vehicle capacity, staffing or the final terms.
Record addresses, stops and building access
Write the full collection and delivery addresses. List extra stops in the order they will be visited. At each building, note the floor, whether the lift works, narrow corridors, restricted yard access and the distance from parking. If the vehicle cannot stop near the entrance, carrying the load may take longer.
For a regional journey, confirm the route and the person who will receive the goods. Discuss the delivery window, possible stops and how cargo will be secured. Our regional transport guide covers preparation for a longer drive. Send any changed address or contact number to the company promptly.
Confirm the vehicle and number of workers
State the vehicle type and expected capacity in the written summary. Ask whether every item will fit in one trip. Confirm how many movers are coming and what they will do at collection and delivery. A quote that says “vehicle included” does not automatically include workers to carry furniture.

Large furniture may need disassembly and assembly. Do not assume this is part of the transport service. If assembly help is required, describe the furniture and ask whether the work is included. A photograph of a wardrobe or desk can help the provider assess the tools and time needed.
Separate the quoted price from possible changes
List what the total covers: vehicle, driver, movers, loading, unloading, packing materials and extra stops. Ask about waiting time, additional floors, a larger item count and a second trip. These are situations in which a new calculation may be needed. When reviewing providers, use the same fields as our guide to comparing transport quotes.
Also record when and how payment is due. If the first figure is an estimate, do not treat it as a confirmed total. When a company needs to inspect the load before confirming, ask what information the calculation will use. Resolve unclear points before you approve the booking.
Set the date, time and contacts
Write down the collection date, start time and approximate delivery window. Tell the provider about building rules and any need to reserve the lift. Name a contact at each address. Identify who can open a gate, show the parking location and check the box count. Keep those phone numbers reachable during the journey.
The sender and recipient should have the same plan. Label boxes by destination room. If cargo will go to several addresses, group the items before loading. This reduces confusion during handover and helps the team place each item correctly.
Discuss fragile items and damage reporting
For glass, mirrors, screens and polished furniture, ask about protective materials and placement in the vehicle. Photograph the visible condition of valuable or delicate pieces before loading. Agree who should be told about damage, when to report it and what evidence to collect. If insurance is offered, request the scope and required documents in writing. The service name alone does not explain its coverage.
Confirm everything in one final message
Important details can disappear across calls and messages. A day before the move, repeat the inventory, addresses, floors, date, time, vehicle, worker count, extra services and agreed amount in one summary. Ask the company to confirm it. The seven details to send before booking provide a format for the initial request.
On moving day, show the team the large pieces and review the loading order. At delivery, check box numbers against your list. Photograph any visible damage and report it promptly to the agreed contact. Keep the written summary and messages after the move.
If the booking was discussed over several days, check that every detail is still current. Update the item count after packing and make sure the recipient agrees with the delivery time. Put changes in a message so everyone is working from the same plan.
